Planning a wedding in Broken Bow, Oklahoma, is a dream for so many couples—towering pines, scenic views, and a relaxed destination feel. When you start touring wedding venues, knowing the right questions to ask can make all the difference. Here’s a helpful guide to the most important questions to ask during your Broken Bow wedding venue tour, plus insight into how we do things at Rustic Rose Hall
First, take a moment to learn more about Rustic Rose Hall. We are a Broken Bow wedding and event venue that is part of a family-owned cabin community in Broken Bow, Oklahoma, just a quick drive from Dallas, Oklahoma City, Fayetteville, or Shreveport and close to beautiful Beavers Bend State Park. Our pricing is completely transparent. You can read through our packages right on our website. Be sure to check out our Facebook, Instagram, or TikTok for some inspiration, or reach out to schedule a tour. Let us make your Oklahoma wedding everything you’ve ever dreamed of—and more!

1. Is Our Date Available?
Ask this early in the process—and be open to alternatives. Popular dates in Broken Bow book quickly, especially during peak seasons.
If your dream date isn’t available, ask about nearby dates or weekday options that may offer more flexibility.
2. Do You Host More Than One Wedding a Day?
This is one of the most important questions to ask. Some venues book multiple weddings in one day, which can feel rushed or impersonal.
At Rustic Rose Hall, your wedding day is exclusively yours. Our packages include 12 full hours with no overlapping events, so you never have to share your space or feel hurried.

3. What’s the Guest Capacity?
It’s essential to choose a venue that can comfortably hold your entire guest list. A space that’s too small can feel cramped, while a venue that’s too large may feel empty.
Always confirm both ceremony and reception capacity to ensure a great experience for everyone attending. Our Broken Bow wedding venue comfortably holds 200 and includes built-in seating at the ceremony space, as well as tables and chairs for 200 in the reception hall.

4. What’s Included in the Rental Fee?
Don’t assume—ask for a full breakdown. Are tables and chairs included? What about décor, setup, or teardown?
Be sure to compare what’s included with other venues when pricing things out. A venue that appears more expensive upfront may actually save you money once you factor in rentals. Rustic Rose Hall includes 12-hour private access, a free hour for clean up, a free hour for rehearsal the day before, tables, chairs, dressing rooms, kitchen, bar space, game room with indoor/outdoor games, sound system, projector, a free QR code photo share, many free décor items, and some rental décor items. Our staff sets up all tables and chairs and tears them down afterwards.

5. Can We Hold Our Ceremony Onsite?
If you want your ceremony and reception in one location, make sure the venue has a designated space for both.
At Rustic Rose Hall, we offer a beautiful onsite ceremony space with a pergola for the altar and built-in seating under the towering pine trees, so your guests can enjoy a seamless experience without traveling between locations.

6. What’s the Backup Plan if It Rains?
Outdoor weddings in Broken Bow are magical—but weather happens. Be sure to ask the venue if there is a backup plan for weather. If all of their spaces are under the big, blue sky, you might want to visualize your guests sitting under a cloudy, rainy sky during your ceremony.
Our venue has a large indoor reception hall that can easily be set up for your ceremony if rain is in the forecast. Most of the time, the rain passes quickly, and our team can dry the seating so your outdoor ceremony can still happen.

7. Can We Bring Our Own Vendors?
Some venues require you to use their preferred vendors, which may limit your choices or your budget. It’s important to ask about vendors before booking.
We believe your wedding should reflect your style. At Rustic Rose Hall, you’re free to choose vendors that match your vibe and budget. We do offer our list of area vendors from our Open House for your convenience, but you are free to choose anyone on the list or not.

8. Are There Accommodations Onsite or Nearby?
Broken Bow is a destination wedding hotspot, so guest lodging matters.
We offer five onsite cabins for guests. In addition, Broken Bow has plenty of Airbnb options, and hotel accommodations are available at the Choctaw Casino, just a short drive away.

9. Does the Venue Offer a Wedding Coordinator?
Some venues are completely DIY, while others offer coordination for an additional fee. If you are looking for someone to help take the stress away, be sure to ask about the venue’s coordinator.
We provide a day-of wedding coordinator who creates your timeline, sends it to your vendors, and helps guide everyone throughout the day—so you can relax and enjoy every moment.
10. Is There Parking Onsite?
It’s easy to overlook this, but parking is important for guest comfort and logistics.
Rustic Rose Hall has ample onsite parking located behind the venue, tucked under the pines for a peaceful arrival experience.
11. What Are the Rules for Bar and Alcohol Service?
Ask about alcohol policies, service times, and bartender requirements. Every venue is different, but many of the state laws are the same.
Some venues require an in-house bartender, while others allow you to bring your own. We allow you to choose your own ABLE or TABC-certified bartender, giving you flexibility. Be sure to also ask about approved alcohol types and how long service is allowed.

12. What Time Is Checkout?
Knowing the latest checkout time helps you plan your reception timeline and avoid extra fees. Some venues allow later departures, so it’s always good to confirm ahead of time.
At Rustic Rose Hall, checkout is no later than midnight. Your 12-hour rental begins at a check-in. You have 12 hours from that time to enjoy your wedding day. At the end of the 12-hour rental, you have 1-hour for clean-up (removing décor, sweeping, taking trash out, etc). This must be complete by midnight.

13. What’s the Retainer Fee and Payment Schedule?
Finally, be sure to ask about booking fees, payment plans, and cancellation policies.
We require a 25% retainer to reserve your date. The remaining balance is due 60 days before your wedding, and we allow flexible, pay-as-you-go payments for your convenience.
